3. Consultation Request and In-Person Booking Structure

3.1 Initial Online Consultation Request

  • No-Fee Consultation: Customers may browse available packages on our website and select an available calendar date to request an initial consultation. This online inquiry involves no immediate fees, charges, or fiscal obligations.
  • Non-Binding Nature: Requesting an initial meeting through our website does not constitute a finalized travel booking, reservation, or binding contract. No package spots, travel arrangements, or training slots are locked, reserved, or ensured during the online form submission.
  • Selecting a Meeting Date: The date selected by the customer on the website represents solely the date on which the customer agrees to visit our physical office for a direct consultation.

3.2 In-Person Office Appointment

  • Physical Presence Requirement: To receive a full program outline, custom planning, or final booking, customers must visit our office located at On Hong Ning Commercial Building, 792 Nathan Rd, Prince Edward, Hong Kong, on their selected date.
  • Tailored Plan Creation: During the in-person meeting, Yoraventrox representatives will review selected itineraries, outline non-lesson package options, and design a tailored preparation plan according to customer goals.
  • Trainer Assignment: For services involving instructional modules or physical travel preparation, a designated instructor or trainer will be assigned to the customer during this office meeting.

4. Payment Terms and Endorsement Policy

To formalize a travel package, preparation schedule, or instructional series, strict adherence to our payment policies is required.

  • Exclusive Payment Method: All fiscal settlements for accepted bookings must be conducted strictly in cash in person at our designated Hong Kong office address.
  • Prohibition of Alternative Payment Formats: Yoraventrox does not accept electronic bank transfers for initial package purchases, online card processing, checks, digital wallets, or credit card transactions. Any attempt to send funds online for an initial booking will not be recognized as a valid transaction.
  • Full Amount Settlement: To finalize a booking and ensure participation, the total quoted fee for the selected package or training plan must be paid in full during the in-person office visit.
  • Booking Completion: A reservation, package arrangement, or instructional session is considered fully completed and legally binding only once the entire cash payment has been received and substantiated by an official representative at our physical office. Upon complete payment, the customer is formally scheduled to attend their session on the agreed date.

5. Cancellation, Schedule Modifications, and Refund Policy

We understand that travel plans and personal schedules can change. Our cancellation policy establishes clear timelines and conditions regarding eligibility for returns on paid amounts.

5.1 Standard Cancellation Timelines

1. Cancellations Made More Than 48 Hours Prior: If a customer provides formal notification of cancellation more than 48 hours before the scheduled session or program start time, the customer is eligible to receive a full refundof the total amount paid.

2. Cancellations Made Between 24- and 48-Hours Prior: If a customer provides formal notification of cancellation within the window of 24 hours to 48 hours prior to the scheduled session or program start time, the cancellation will incur a 50% cancellation deduction. The customer will receive a 50% refund of the total amount paid.

3. Cancellations Made Less Than 24 Hours Prior: If a customer attempts to cancel, notify of an inability to attend, or express an inability to board travel arrangements less than 24 hours before the scheduled start time, no refund will be provided. The entire paid amount will be retained to cover operational allocations.

4. Inability to Board and Absence Rules: Customers must inform Yoraventrox of any cancellation or inability to board at least 24 hours prior to the session start time to qualify for a 50% refund. Failure to provide notification at least 24 hours in advance will result in a total forfeiture of the booking amount.

5. No-Show Policy: Failure to arrive at the designated location for a scheduled session, consultation-derived activity, or tour departure without prior written cancellation notice will be classified as a No-Show. All No-Shows are considered as immediate late cancellations, and no refunds will be granted under any circumstance.

5.2 Refund Disbursement Methods

Upon approval of a valid cancellation request under the time parameters outlined above, refunds will be processed through one of two accepted mechanisms:

  • Option A: Cash Refund Customers may opt to receive their accepted refund in cash. To obtain a cash refund, the customer must visit our physical office at On Hong Ning Commercial Building, 792 Nathan Rd, Prince Edward, Hong Kong, during standard business operating hours.
  • Option B: Bank Transfer If a customer selects a bank transfer for an accepted refund, official bank account details must be provided directly from the customer’s registered electronic mail account to our official contact address (tours@yoraventrox.com) once the cancellation request has been officially accepted. Refunds will only be disbursed to bank accounts held under the legal name matching the original booking record.

6. Personal Data Protection and Privacy (PDPO)

  • Documentation Compliance: Customers are solely responsible for obtaining and maintaining all personal travel documentation necessary for international itineraries, including valid passports, entry visas, wellness documentations required by destination authorities, and transit approvals.
  • Punctuality: Customers must arrive on time for scheduled consultations, training sessions, and departure activities. Delayed arrivals may result in missed instructional time or forfeit of booking without compensation.

8. Limitation of Liability and Force Majeure

8.1 Operational Limitations

Yoraventrox functions as a specialized planning and preparation provider. While every reasonable effort is made to organize dependable arrangements, Yoraventrox shall not be held liable for personal injury, property loss, unexpected travel delays, or third-party service failures that occur outside our direct physical control during international transit.

8.2 Force Majeure Events

Yoraventrox shall not be deemed in breach of these Terms and Conditions nor held fiscally liable for any failure or delay in performing its obligations where such failure results from events beyond reasonable human control. Such events include, but are not limited to: severe weather disruptions, natural disasters, civil commotions, border closures, administrative travel bans, airport closures, or official government restrictions. In such events, Yoraventrox will work with affected customers to adjust schedules where feasible, subject to our cancellation provisions.

9. Modifications to Terms and Conditions

Yoraventrox reserves the explicit right to revise, update, amend, or alter any section of these Terms and Conditions at any time to reflect operational updates, structural business adjustments, or statutory changes in Hong Kong law. Any revised version will take effect immediately upon being posted on our official website. Continued access to our website or utilization of our office consultation services following posted changes signifies full acceptance of the updated Terms and Conditions.

10. Severability and Complete Agreement

If any provision of these Terms and Conditions is found by a court of competent jurisdiction within Hong Kong to be unlawful, void, or unenforceable, that specific provision shall be deemed severable from the remaining text. Such invalidity shall not affect the validity, enforceability, or operation of any other remaining provisions, which shall continue in full legal force and effect.
